Requesting documentation is a common activity when onboarding a new employee.
The following steps will outline how to request these documents:
Step 1: Create a Questionnaire
You will first need to create a questionnaire of a file type.
From your Library Tab, select Questionnaires and then select "New Questionnaire":
You will need to name your questionnaire and include any optional instructions here:
Next, Add your question by selecting the "Add Question" button here:
From the drop-down, select "File" as the Type:
Add any text or instructions, as well as mark the field required, then select "Apply":
Finally, save your new questionnaire by selecting "Save":
Step 2: Create a Task to assign to your new hire
From the Library tab, select Tasks, and then choose "Create Task":
Name your task and select "Questionnaire" as the Task Type:
Then add any task details here & make sure to set the assignment to the hire:
Finally, add any task reminders as well as the questionnaire created in Step 1, then choose "Save":
Step 3: Assign the Task to the new hire
There are several ways you can do this. You can add it to a checklist and then assign it to the hire(s) or you can manually add the task to the hire(s) as needed.
Adding the task to a checklist:
Either select "Create Checklist" (to create a new checklist) or edit an existing checklist from the Library/Checklists here:
To add the task to an existing checklist, select the edit icon and simply drag-and-drop the new task to the checklist:
Whichever method you use (checklist or individual task) you can assign the new task to the hire(s) from the Hires Tab here:
or from within the individual hire record here:
In the Hire portal the task will be listed as an assigned task here:
and when selected will be presented like this:
